Our Commitment to Your Privacy
Your privacy is important to us. This Privacy Notice explains how we collect, use, store and protect your personal information when you become a member of the United Nurses Association (United Kingdom).
We are committed to processing your personal information fairly, lawfully and transparently in accordance with applicable UK data protection laws.
What Information We Collect
Depending on your membership, we may collect:
- Full name
- Email address
- Telephone number
- Postcode
- Age
- Membership details and status
- Payment or subscription records (where applicable)
- Information you voluntarily provide during your membership
- Records of your participation in association activities and events
We only collect personal information that is necessary for administering your membership.
How We Use Your Information
Your personal information is used solely for the administration and operation of the association, including:
- Creating and maintaining your membership record
- Managing your membership and renewals
- Contacting you regarding your membership
- Sending membership renewal reminders
- Informing you about association meetings, events and activities
- Sending event invitations and association-related notifications
- Maintaining accurate membership records
- Responding to your enquiries and requests
We do not use your personal information for commercial marketing purposes.
Photography, Video and Media
From time to time we take photographs and make video recordings at our public events and at the association's private events.
These photographs and recordings may be uploaded to and published on social media platforms — including YouTube, Facebook, Instagram and X (formerly Twitter) — and may also be used on the association's own website and on the websites of associated or affiliated organisations, for the purposes of promoting the association and celebrating our community and events.
If you would prefer not to appear in such photographs or recordings, or would like an image of you removed after publication, please speak to a committee member or event organiser at the event, or contact us using the details in this notice, and we will take reasonable steps to accommodate your request.
Sharing Your Information
Your personal information will never be sold, rented, traded or shared with third parties for marketing, advertising or commercial purposes.
We use your information solely to manage your membership and communicate with you about matters relating to the association.
We will only disclose your information where:
- We are required to do so by law.
- It is necessary to protect the rights, safety or security of the association or its members; or
- You have provided your explicit consent.
Data Security
We take appropriate technical and organisational measures to safeguard your personal information against unauthorised access, alteration, loss or disclosure.
Access to member information is restricted to authorised committee members or administrators who require it to manage the association.
Automated Decision-Making and Profiling
We do not use automated decision-making technology or AI-based technology with regards to processing, or transmitting personal data, including profiling.
How Long We Keep Your Information
We retain your personal information only for as long as it is necessary to administer your membership and to comply with any legal or administrative obligations. When your information is no longer required, it will be securely deleted or anonymised.
Your Rights
Under UK data protection legislation, you have the right to:
- Request access to the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Request deletion of your personal information where applicable.
- Request restriction of processing in certain circumstances.
- Object to certain types of processing where permitted by law.
